Understanding the 3CX Windows App

General


After the installing of the 3CX Windows App, your 3CX Softphone is ready to be fully used.

To be able to get a basic understanding on the different sections of the App we created this guide here.



Understanding the 3CX Windows App


Below we see the menu-list and a short description.


1 - Status Icon


The Status Icon allows you to change your profile status and log out of Queues globally.

It is separated into 4 sections.

  1. Extension information
  2. Extension Queue status
  3. Extension Status
  4. Status Configuration

1 Extension Information


Extension Name: This shows the Name of the Extension as it is seen by the other extensions
Extension Number: This shows the internal number of Your/this current extension
PBX Address: this link shows the address of the PBX this extension is registered to
2 Extension Queue statusThis option is used to log the Extension in all Queues or out of all Queues it is member of
3 Extension StatusThere are 5 statuses that can be set:
AvailableThis sets the extension into available mode, Calls can be received & call forward behavior is based on available settings. Using Time based scheduling (Office hours) the Available mode is treated as 'In Office Hours'.
AwayThis sets the extension into Away mode, No calls can be received & call forward behavior is based on Away settings. Using Time based scheduling (Office hours) the Away mode is treated as Break time.
Do not DisturbThis sets the extension into Do not Disturb mode, No calls can be received & call forward behavior is based on DND settings. Using Time based scheduling (Office hours) the DND mode is treated as 'Out of Office Hours'.
Lunch (Available 2)This sets the extension into indefinite available mode, Calls can be received & call forward behavior is based on 'available 2' settings. Time based scheduling (Office hours) has no effect if this status is set. This status will stay active until manually triggered with another one.
Business Trip (DND 2)This sets the extension into indefinite DND mode, No calls can be received & call forward behavior is based on 'DND 2' settings. Time based scheduling (Office hours) has no effect if this status is set. This status will stay active until manually triggered with another one.
4 Status ConfigurationChange the Status settings like Call forward, exceptions and Switch Status. (This will open in the Webclient)



 2 - Dialer


There is not much to say for the Dialer, as it simply does what the name says. There is more on it in the Dialer User Guide.


3 - Profile

Inside the Profile section one can manage multiple profiles. This can be e.g. working for multiple companies that all use 3CX or using different profiles as a part of the role in the same company.

The profile that is currently ticked will be active. Only one profile can be active at a time.


4 - Team

Inside the Team section you can see your Team (One Team or multiple, depending on system configuration). 

Team Members and their status can be seen. They can be called, voicemails can be left, and e-mail can be sent.


5 - Contacts

The contacts section offers the ability to choose between All contacts or Personal, Company, CRM, Microsoft 365.

It also offers a search to find contacts in bigger contact lists.



6 - Call History

In the Call History section Outgoing, incoming and missed calls can be seen and searched. Additionally contact info can be seen and the number can be copied.


7 - Voicemail

If a Voicemail is left, it can be seen on the Voicemail Icon and inside the Voicemail section. Voicemails are shown with Caller, Date, Time of Day and length of recording. Additionally, the following options are available: 

  • Choose where to play the Voicemail 
  • Callback 
  • Mark as read 
  • Delete 
  • Search for Contacts/Numbers 
  • Show Contact info
  • Copy number


8 - Meet & Chat

The 'More' section gives access to 3CX Webmeeting and Chat. 

Meeting and Chat, both will open in Webclient (Browser)


9 - Settings

The Settings section is split into 'General options' and 'Audio options'.

General Options:

  • Theme Selection (light/dark) - Choose the layout
  • Language Selection
  • Autostart
  • Show extensions
  • Show BLF Panel
